1. Who holds the information

Noble Court Yards is the registered business name of Kohbyn Ellacott, a sole trader in Australia (ABN 37 899 316 456), of Queensland, Australia. Canopy, also called Canopy Field Manual, is a product of that business. This policy says what personal information the business holds, why, and how to reach it. It is written to meet the Australian Privacy Principles in the Privacy Act 1988 (Cth). The nursery letter also follows the Spam Act 2003 (Cth).

Customer service is the contact form. Do not send a card number through it.

2. What is held, and why

Only what Canopy needs to run an account, a project, a letter, or a reply.

  • Account. Name, email, and whether that email is confirmed. A password, if you make one, is stored as a hash. A sign-in through Grok does not give Canopy your password. The plan, a display name, city, region, country, and home climate. A Buddy Student plan also keeps the institution and the tuition end date. A practice account keeps a visit count and the last day it was opened, so it can be deleted after 30 days unused. A name, registration numbers, and a logo, if you add them, are kept with the account and printed on The Brief.
  • Sign-in session. A session token, when it expires, the IP address, and the browser string. An account may hold three of these at once. A desktop left unused for two hours signs that desk out. A phone does not. They are not used to advertise.
  • Payment. Stripe’s customer number and the subscription number, so the plan can be turned on or off. The card number stays with Stripe. Canopy does not receive it and does not store it.
  • Projects. The job name, notes, city, region, country, climate, and any site address you type. The situations, plants, quantities, and prices you save on that job. A name, registration numbers, and a logo saved on that job. A short record is kept of who changed the job.
  • A firm on Curator. The firm’s name and ABN, the named seats, and the jobs those seats share. A seat who leaves loses the job book. The firm keeps the jobs. Those addresses are not shown to any other firm.
  • A business listing you choose to save. The nursery or business name, type, street, and phone, if you fill those boxes. Nothing is listed until you save it.
  • Community Notes. The text, and the name you choose to show. A note is public on the dossier only after it is approved. A rating, a conflict flag, or a report on a note is tied to the account that sent it. A report is used to decide whether that note stays on the dossier.
  • Situation text. Words you type into the Situation box are sent to a model provider so the filter can be filled. Canopy does not sell that text and does not use it to train a model of its own. A saved job is not sent. Do not type a client’s address into that box.
  • Contact form. Your name, the reply email, the message, and the answer to “Are you a nursery?”. Used only to reply.
  • Nursery news. The email address and whether that line may be sent. Unsubscribing marks the line DO NOT SEND. The address is not deleted, so a later signup is not treated as a new consent by mistake.

Canopy does not ask for a tax file number, a date of birth, or a precise GPS track of you. A site address is what you type for a job. It is not taken from the phone’s location.

3. What stays on the phone, and is not an account record

This browser keeps a few marks so the page can work: the day-paper or night-field choice, whether you closed the news box, the letter of the library you last opened, and a draft of a Situation you have not yet saved. A saved project is written to the database. The draft is only in that browser, and it clears when the session ends. It is not a copy of someone else’s account.

4. Where it is kept

Account, project, contact, and newsletter records are kept in a Postgres database operated by Neon, part of Databricks, on Amazon Web Services or Microsoft servers. The region is set by that host and may be outside Australia. They are not written into the public pages or the application code. A page loads only the signed-in person’s own account and projects, or, on Curator, the jobs of that person’s firm. The customer inbox and the newsletter list are limited to the operator of Noble Court Yards.

The host and the database may sit outside Australia. Stripe, which takes the payment, is in the United States. Noble Court Yards does not sell personal information and does not give it to a nursery. A Community Note you submit is shown publicly only after approval, under the name you chose.

5. How long it is kept

A practice account that stays on Pioneer and is not opened for 30 days is deleted. Any other account is kept until you ask for it to be closed, or until the law requires a longer hold. A paid plan that ends does not by itself delete the projects. Closing the account does. Contact messages are kept long enough to answer and to keep a record of that answer. A newsletter address marked DO NOT SEND is kept as a suppression, not as a mailing address.

6. The nursery letter

The letter is separate from a paid plan. It is sent only to an address that asked for it. Each letter will identify Noble Court Yards and will include a way to unsubscribe. You can also unsubscribe from the account page. That marks the line DO NOT SEND.

7. Access, correction, and deletion

You can see and change your name, place, and business listing on the account page. For a copy of what is held, a correction, or to close the account and delete the projects, use the contact form from the same email as the account. Noble Court Yards will answer within 30 days. A request can be refused only where the Privacy Act allows a refusal, and the reason will be given.

8. If something goes wrong

If personal information is lost or disclosed and that is likely to cause serious harm, Noble Court Yards will tell the people affected and, where the Privacy Act requires it, the Office of the Australian Information Commissioner.

A complaint can be sent through the contact form. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

9. The other documents

The End User Agreement is the licence to use Canopy. The Terms of Service cover price, payment, and liability. This policy covers personal information only.
